General Information
The following notes provide a simple overview of what happens to your personal data when you visit this website. Personal data is any data with which you could be personally identified. Detailed information on the subject of data protection can be found in our Privacy Policy outlined below.

Data Collection on this Website
Who is responsible for data collection on this website?
The data processing on this website is carried out by the website operator. Their contact details can be found in the section "Information on the Data Controller" in this Privacy Policy.

How do we collect your data?
On the one hand, your data is collected when you communicate it to us. This could, for example, be data you enter into a contact form.

Other data is collected automatically or after your consent by our IT systems when you visit the website. These are primarily technical data (e.g., internet browser, operating system, or time of the page request). This data is collected automatically as soon as you enter this website.

What do we use your data for?
A portion of the data is collected to ensure the faultless provision of the website. Other data may be used to analyse your user behaviour. If contracts can be concluded or initiated via the website, the transmitted data will also be processed for contract offers, orders, or other order requests.

What rights do you have regarding your data?
You have the right at any time to receive information about the origin, recipient, and purpose of your stored personal data free of charge. You also have a right to request the rectification or erasure of this data. If you have given your consent to data processing, you can revoke this consent at any time for the future. You also have the right, under certain circumstances, to request the restriction of the processing of your personal data. Furthermore, you have the right to lodge a complaint with the competent supervisory authority. You can contact us at any time regarding this or other questions on the subject of data protection.

The external hosting serves the purpose of fulfilling the contract with our potential and existing customers (Art. 6(1)(b) GDPR) and the interest of secure, fast, and efficient provision of our online services by a professional provider (Art. 6(1)(f) GDPR). If appropriate consent has been obtained, the processing is carried out exclusively on the basis of Art. 6(1)(a) GDPR and § 25 (1) TDDDG, insofar as the consent includes the storage of cookies or access to information in the user's end device (e.g., device fingerprinting) within the meaning of the TDDDG. This consent can be revoked at any time.

Our host(s) will only process your data to the extent necessary to fulfil their performance obligations and will follow our instructions with respect to such data.

We use the following host(s):

Recipients of Personal Data
As part of our business activities, we cooperate with various external entities. In some cases, it is necessary to transfer personal data to these external entities. We only pass on personal data to external entities if this is required as part of the fulfilment of a contract, if we are legally obliged to do so (e.g., passing on data to tax authorities), if we have a legitimate interest according to Art. 6(1)(f) GDPR in passing on the data, or if another legal basis permits the data transfer.
When using data processors, we only pass on our customers' personal data based on a valid contract for data processing. In the case of joint processing, a joint processing agreement is concluded.

Revocation of your Consent to Data Processing
Many data processing operations are only possible with your express consent. You can revoke consent already given at any time. The legality of the data processing carried out before the revocation remains unaffected by the revocation.

Right to Object to Data Collection in Special Cases and to Direct Marketing (Art. 21 GDPR)
IF DATA PROCESSING IS BASED ON ART. 6(1)(E) OR (F) GDPR, YOU HAVE THE RIGHT AT ANY TIME TO OBJECT TO THE PROCESSING OF YOUR PERSONAL DATA FOR REASONS ARISING FROM YOUR PARTICULAR SITUATION; THIS ALSO APPLIES TO PROFILING BASED ON THESE PROVISIONS.

THE RESPECTIVE LEGAL BASIS ON WHICH PROCESSING IS BASED CAN BE FOUND IN THIS PRIVACY POLICY.

IF YOU OBJECT, WE WILL NO LONGER PROCESS YOUR CONCERNED PERSONAL DATA UNLESS WE CAN DEMONSTRATE COMPELLING LEGITIMATE GROUNDS FOR THE PROCESSING THAT OVERRIDE YOUR INTERESTS, RIGHTS, AND FREEDOMS, OR THE PROCESSING SERVES THE ESTABLISHMENT, EXERCISE, OR DEFENCE OF LEGAL CLAIMS (OBJECTION PURSUANT TO ART. 21(1) GDPR).

IF YOUR PERSONAL DATA IS PROCESSED FOR THE PURPOSE OF DIRECT MARKETING, YOU HAVE THE RIGHT TO OBJECT AT ANY TIME TO THE PROCESSING OF PERSONAL DATA CONCERNING YOU FOR THE PURPOSE OF SUCH MARKETING; THIS ALSO APPLIES TO PROFILING INSOFAR AS IT IS ASSOCIATED WITH SUCH DIRECT MARKETING. In the event of violations of the GDPR, data subjects have the right to lodge a complaint with a supervisory authority, particularly in the Member State of their habitual residence, their place of work, or the place of the alleged violation. The right to lodge a complaint exists without prejudice to any other administrative or judicial remedies.

Right to Data Portability
You have the right to have data that we process automatically on the basis of your consent or in fulfilment of a contract handed over to you or to a third party in a standard, machine-readable format. If you request the direct transfer of the data to another controller, this will only be done as far as it is technically feasible.

Information, Rectification, and Erasure
Within the framework of the applicable legal provisions, you have the right at any time to free information about your stored personal data, its origin and recipient, and the purpose of the data processing, and, if applicable, a right to the rectification or erasure of this data. You can contact us at any time regarding this or other questions on the subject of personal data.

Right to Restriction of Processing
You have the right to request the restriction of the processing of your personal data. You can contact us at any time for this purpose. The right to restriction of processing applies in the following cases:
  • If you dispute the accuracy of your personal data stored by us, we usually need time to verify this. For the duration of the review, you have the right to request the restriction of the processing of your personal data.
  • If the processing of your personal data occurred/is occurring unlawfully, you can request the restriction of data processing instead of erasure.
  • If we no longer need your personal data, but you need it for the exercise, defence, or establishment of legal claims, you have the right to request the restriction of the processing of your personal data instead of erasure.
  • If you have filed an objection pursuant to Art. 21(1) GDPR, a balance must be struck between your interests and ours. As long as it is not yet clear whose interests prevail, you have the right to request the restriction of the processing of your personal data.
If you have restricted the processing of your personal data, this data – apart from being stored – may only be processed with your consent or for the establishment, exercise, or defence of legal claims or for the protection of the rights of another natural or legal person or for reasons of important public interest of the European Union or a Member State.

SSL or TLS Encryption
For security reasons and to protect the transmission of confidential content, such as orders or inquiries that you send to us as the site operator, this site uses SSL or TLS encryption. You can recognise an encrypted connection by the fact that the address line of the browser changes from "http://" to "https://" and by the lock symbol in your browser line. If SSL or TLS encryption is activated, the data you transmit to us cannot be read by third parties.

Objection to Promotional Emails
The use of contact data published within the scope of the imprint obligation for the purpose of sending unsolicited advertising and information materials is hereby rejected. The site operators expressly reserve the right to take legal action in the event of the unsolicited sending of advertising information, such as spam emails.

7. Data Collection on this Website
Cookies
Our web pages exclusively use technically necessary "cookies" or local storage technologies. Cookies are small text files that are stored on your computer and saved by your browser.
We do not use cookies for advertising or analytical purposes (e.g., no Google Analytics cookies).

The use of technically necessary cookies is based on Art. 6(1)(f) GDPR. The website operator has a legitimate interest in storing cookies for the technically faultless and optimised provision of their services (e.g., shopping cart function, protection against spam in forms).

Since we do not use cookies that require consent (tracking, marketing), no cookie banner is required for visiting our website.

Server Log Files
The provider of the pages automatically collects and stores information in so-called server log files, which your browser automatically transmits to us. These are:
  • Browser type and browser version
  • Operating system used
  • Referrer URL
  • Hostname of the accessing computer
  • Time of the server request
  • IP address
This data is not merged with other data sources.

The collection of this data is based on Art. 6(1)(f) GDPR. The website operator has a legitimate interest in the technically faultless presentation and optimisation of their website – for this purpose, the server log files must be recorded.

Contact Form
If you send us inquiries via the contact form, your details from the inquiry form, including the contact details you provided there, will be stored by us for the purpose of processing the inquiry and in case of follow-up questions. We will not share this data without your consent.

The processing of this data is based on Art. 6(1)(b) GDPR if your request is related to the fulfilment of a contract or is necessary for the implementation of pre-contractual measures. In all other cases, processing is based on our legitimate interest in the effective processing of inquiries addressed to us (Art. 6(1)(f) GDPR) or on your consent (Art. 6(1)(a) GDPR) if this was requested; the consent can be revoked at any time.

The data you enter in the contact form will remain with us until you ask us to delete it, revoke your consent for storage, or the purpose for data storage ceases to apply (e.g., after your request has been processed). Mandatory statutory provisions – in particular statutory retention periods – remain unaffected.

Collection of Voice and Text Messages for Sociological Research Purposes
(Voice & Text Cases)

When you use the function offered on our website to submit sociological case studies (as a voice or text message), we collect your name, your contact details, the actual audio or text message, and optionally your willingness to be contacted for any follow-up questions.

Purpose and Joint Controllers:
The collection, storage, and transcription of this data serve exclusively scientific and analytical purposes within the framework of a sociological research project on the topic "Interaction in the Research and Development Environment". For this specific project, the website operator (Alexander Efremov) acts together with Nils Klowait as Joint Controllers within the meaning of Art. 26 GDPR. The collected data is not used for business or contractual purposes.

Legal Basis:
The processing of the data (including AI-supported transcription and potential future contact) takes place exclusively on the basis of your explicit consent (Art. 6(1)(a) GDPR), which you grant by starting the recording or actively sending the message. You can revoke this consent at any time with effect for the future.

Research Ethics and Confidentiality:
All submitted case histories are treated strictly confidentially and in accordance with ethical research principles (based on the Chatham House Rule). In later academic publications, lectures, or articles, identifiable details, names of corporate entities, or unaltered original narratives (soundbites) will never be quoted.

Processing Chain, Local AI, and External Service Providers (Data Processors):
Data transmission is strictly TLS-encrypted. For technical processing, we use dedicated servers located in Finland (Hetzner Finland Oy, Huurrekuja 10, 04360 Tuusula, Finland). There, the audio recording is converted into a standard format (MP3) as needed, and upon your explicit request, anonymised through voice alteration before it is released for storage.

The final and permanent storage of the confirmed research data takes place in an isolated, protected cloud storage at Infomaniak Network SA (Geneva, Switzerland). An adequacy decision of the EU Commission (Art. 45 GDPR) exists for Switzerland. Access to this storage is strictly limited to the core research team.

Automated Transcription (Offline AI): Once a day, an AI model (Whisper) hosted locally on our Hetzner infrastructure asynchronously fetches the new audio recordings, generates text transcripts for our research, and uploads them back to the isolated cloud storage. No external online AI services (such as ChatGPT APIs) are used in this process.

AI-Supported Text Analysis (Post-Processing): For the subsequent structuring and analysis of the generated text transcripts, we use the LLM service (EURIA) provided by Infomaniak Network SA. This is a sovereign European AI solution. A crucial data protection feature of this service is that your data is used strictly for processing and is never used to train or improve the underlying AI models. Since Infomaniak already serves as our secure cloud provider, the data remains seamlessly within the same protected Swiss infrastructure.

All temporary files created during the preview, conversion, or transcription are immediately and permanently destroyed after the respective process is completed. We have concluded Data Processing Agreements (DPA) pursuant to Art. 28 GDPR with both infrastructure providers (Hetzner and Infomaniak) to ensure seamless protection of your data.

All temporary files created during the preview, conversion, or transcription on the Hetzner server are immediately and permanently destroyed after the respective process is completed. We have concluded Data Processing Agreements (DPA) pursuant to Art. 28 GDPR with both infrastructure providers (Hetzner and Infomaniak) to ensure seamless protection of your data.

Storage Duration:
Your raw data (audio recordings and identifying text data) as well as the generated transcripts will only be stored for the duration of the active research phase. They will be permanently and securely deleted after the publication of the research results (expected at the end of 2027). Irrespective of this, your data will be deleted immediately if you ask us to delete it or revoke your consent. In this case, the contact details primarily serve to unambiguously identify your contribution for erasure.

Inquiry by Email, Telephone, or Fax
If you contact us by email, telephone, or fax, your inquiry, including all resulting personal data (name, inquiry), will be stored and processed by us for the purpose of processing your request.

The data you send to us via contact requests will remain with us until you ask us to delete it, revoke your consent for storage, or the purpose for data storage ceases to apply (e.g., after your request has been processed). Mandatory statutory provisions – in particular statutory retention periods – remain unaffected.
